Charge Card Transition 2009

2/27/09: Updated P-Card Activation: Here are the steps to activate your card:
- Call the 888 number provided on the sticker on your new card.
- You will be asked to enter your 16 digit account number.
- You will be asked for your verification code which is 236 and your birthdate. Example: (236022750).

Accessing P-Card Statements 2/26/09: March 1, 2009 Bank of America will begin sending the Works Welcome email to cardholders on how to access Bank of America 's
Works system to view p-card statements. A separate email for travel cardholders will follow. PLEASE DO NOT DELETE THE EMAIL- CARDHOLDERS
WILL NEED THE EMAIL TO GAIN ACCESS TO WORKS . Here are the steps to view and download statements.
- Go to http://payment2.works.com
- On the left hand side click on + Reports > Select Spend Reports
- Click on the drop down bar (Please select a report template ) and select "Choose from all available template"
- A separate box will open, Select the radio button to the left of the name SPCC, Gold, and ATC Memo Statement-The report is already formatted to default to the previous billing cycle. If you need to run a different cycle, you can click on the Date box and select the dates needed.
- Go down to the bottom of the page and Click -Submit Report. You will be prompted to save or download the report.
Note: If a vendor passed the PCO number, it can be populated in the CRI or PID fields on the memo statement.

2/23/09: P-Card Activation: As a result of a system glitch, cardholders will need to speak with a specialist
at Bank of America to activate your new p-card. Here are the steps to activate your card:
- Call the 888 number provided on the sticker on your new card.
- You will be asked to enter your 16 digit account number.
- You will be asked for your verification code or told to press 1 if you do not have your code. Please press one.
- You will be asked for your business phone number. After you've entered your number, you will be advised it does not match their records so you will be prompted to enter your business phone number again.
- After the second attempt with your business phone number you will be put on hold and then connected to a specialist who will assist you with the activating your card.
- The specialist may ask you for your credit limit and your address. You may need to provide them with the "Credit Line" information included with your Bank of America card and your address which is your VCU PO Box number where your card was sent.

2/19/09: P-Card Update:
Cardholders should begin to receive their new BOA VISA card during the week of February 23rd.
If you have any vendors that are processing recurring charges on your card you must contact the
vendor and provide them with your new VISA card information. If you are an eVA p-card user, please
log into eVA (http://www.eva.virginia.gov/)
and follow their directions provided in the Knowledge Center for handling your new p-card information in eVA.
NOTE: All GE MasterCard accounts will no longer be active after 2/28/09.

ALERT!
2/13/09: During the week of February 9th Bank of America (BOA) began releasing VISA card to existing p-cardholders.
On February 13th it was discovered that the p-card numbers were not randomly assigned by BOA. Accordingly,
BOA has been instructed to cancel the cards that were issued with sequential numbers and re-issue new cards.
BOA will begin releasing the re-issued cards on Thursday, February 19th. Cardholders should destroy any p-card
received before February 20th. If you need to confirm if your card is valid, please email the last six digits of your account
number to the Program Administration Team at corpcard@vcu.edu or contact Thelma Stockton at 8-4232 or David Zoll at 6-2886.

1/27/09: Cardholders will begin receiving activation emails for the transition to Bank of America (BOA) VISA cards.
The email will be sent from mailto:WorksNoReply@works.com.

In addition to submitting a card application, the Cardholder must submit a completed
Travel Card Employee Agreement Form and complete the annual
training requirement in order to obtain a VISA travel card.

Travel Card: Any cardholder currently holding an Individual Liability Travel card with GE must apply
for a new Individual Liability card with Bank of America (BOA). In order to protect sensitive
personal data (i.e. social security number), you must provide specific information using a
secure on-line website to initiate the process. The Program Administrators will no longer
have access to your social security number.
Please complete the Employee Agreement Form
and fax it back to the Program Administration Team at 8-3360 or scan and email to corpcard@vcu.edu.
Your current GE card will no longer be active after 2/28/09.

Travel Card: The Standard Credit Limit for the travel card will remain at $2,500 and the cash limit will be at $200.

Due to the transition of the card program from GE MasterCard to Bank of America VISA, it has become
necessary to only process cards to GE that are considered to be critical for your department's business operations.
The Program Administration Team (PAT) will only process cards to GE when there is no other card in the department
which can be used between January 1, 2009 and the time new cards are obtained from Bank of America.
A justification for the critical need from the cardholder's department head and approval from the Department of Accounts
must be obtained before the PAT can process the card request.

The GE MasterCard charge card program will transition to a new VISA program offered by
Bank of America. The Program Administration Team is working with Department of Accounts
on the implementation. The goal is to keep cardholders informed throughout the process
and to provide a smooth transition to the new program. The date set for full implementation
is February 28, 2009.
